This policy provides clear information on the requirements, conditions, and benefits associated with joining our Denplan membership scheme. It ensures transparency and consistency in how Denplan is offered at our practice.
This policy applies to:
All patients wishing to enrol in our Denplan membership scheme.
Before joining Denplan, all patients must be assessed as dentally fit.
• All clinical and administrative staff involved in providing information or processing Denplan registrations.
This means:
• A full dental examination will be carried out by a dentist.
• Any clinically required restorative or periodontal treatment must be completed before Denplan membership can begin.
• The dentist must confirm that the patient’s oral health is stable and suitable for ongoing preventive care under Denplan.
To ensure fairness and sustainability of the plan, payment conditions apply depending on the membership type:
Patients cannot join Denplan until all necessary treatment has been completed and their oral health has been stabilised.
4.1 Standard Denplan Membership (Two Regular Examinations Per Year)
Patients joining the standard plan, which entitles them to two routine dental examinations per year, up to two routine x-rays , simple scale and polish with the dentist and15% discount on essential dental treatment, must make six (6) months of Denplan payments before they become eligible for their first Denplan examination and accompanying benefits.
4.2 Yearly Denplan Membership (Annual Plan Option)
Patients who choose to join the yearly Denplan membership must pay twelve (12) consecutive monthly payments before qualifying for any Denplan benefits, including examination, up to two routine x-rays, simple scale and polish with the dentist and 15% discount on essential dental treatment.
Once the required payment period has been completed (6 months for standard membership, 12 months for yearly membership), patients become entitled to their Denplan benefits:
• Dental examination (initial entitlement following qualifying period)
• Up to two small dental X-rays (as clinically indicated)
• One simple scale and polish with the dentist
1. Initial Consultation & Dental Fitness Assessment A full oral health assessment is performed. Any necessary treatment is identified and discussed.
• 15% discount on essential private dental treatment (Exclusions apply for specialist services, facial aesthetic treatment, cosmetic treatments including teeth whitening, failed to attend fees, late cancelation fees, laboratory fees)
Benefits cannot be accessed earlier than the qualifying payment period.
2. Payment for Initial Examination and Required TreatmentPatients must pay the full private fee for the initial dental examination, x-rays and any required dental treatment before joining Denplan. Denplan benefits cannot be applied retrospectively to these services.
3. Completion of Required Treatment All clinically necessary treatment must be fully completed before Denplan enrolment.
4. Registration & Direct Debit Setup The patient completes Denplan registration documentation and sets up their Direct Debit mandate.
5. Membership Activation Membership begins once Denplan confirms registration and the Direct Debit is active. The patient then begins the qualifying payment period (6 months for standard membership, 12 months for yearly membership).
Patients enrolled in Denplan agree to:
• Attend appointments regularly.
• Keep Direct Debit payments active and up to date.
• Notify the practice of changes in their medical history or personal details.
• Follow professional oral hygiene and preventive advice.
The practice will:
• Provide clear, accurate information about Denplan membership and eligibility.
• Perform fair clinical assessments to determine dental fitness.
• Ensure patients understand the qualifying payment period and conditions.
• Provide all benefits once eligibility is met.
• Notify patients of any changes in fees or terms.
If the patient cancels their membership before completing the required payment period (6 months for standard membership or 12 months for yearly membership), no Denplan benefits will be accessible.
Any ongoing or future dental care will then be charged at standard private fees.
This policy is reviewed annually or sooner if changes occur in Denplan structure, regulatory guidelines or practice procedures.
